Privacy policy
How NEXTUK Consultant uses personal information. Last updated 14 October 2026.
We handle personal information in line with the UK GDPR and the Data Protection Act 2018. NEXTUK Consultant is the controller for the account, order, and letter information described here. This notice sits alongside the registration terms.
This website is for adults setting up or running a company. We do not intend to collect information about children.
1. What we collect
- Account details. Your name, email, phone, account ID, password hash, company name, company number, and whether you are forming a new company.
- Residence. Whether you live in the United Kingdom (including the Channel Islands and the Isle of Man) or in another country. The overseas list includes India. Israel is not offered.
- Orders. The office, services, letter options, promo or referral code, totals, VAT, and renewal date.
- Payments. The method you chose (card, PayPal, or Direct Debit), a gateway reference, and the last four digits. We do not store the full card number or the full bank account number.
- Identity documents. Files you upload for a company formation check, and the review notes our staff record.
- Letters. Scanned post we upload to your account, which you can view and download while the account is open.
- Messages. Tickets, emails we send about the account, and whether you have opted out of promotional email.
- Technical details. A session cookie that keeps you signed in, and ordinary server logs such as the time of a request. We do not use advertising cookies.
2. Why we use it
- To provide the account and the services you buy. That includes creating the account ID, sending the password, taking payment, scanning or forwarding post, and showing filings. The lawful basis is the contract.
- To check identity before a new company is formed and before we switch those services on. The lawful basis is the contract and our legal duty to know who we are dealing with.
- To send service messages. Welcome details, tickets, payment receipts, renewal reminders, and filing reminders are part of the service. Renewal emails start seven days before the renewal date. Filing emails start three days before a due date. You cannot opt out of these and still use the service.
- To send promotional email only if you have not opted out. You can opt out at checkout or by writing to us. The lawful basis is consent, and you can withdraw it at any time. That does not stop service messages.
- To keep records, prevent misuse, and answer a legal request. The lawful basis is a legal obligation or our legitimate interest in running a secure service.
3. Who can see it
- Staff whose role allows it. A support user can see tickets and letters. A finance user can see orders. They cannot see every admin screen.
- The payment provider for the method you choose: Stripe for cards, PayPal, or GoCardless for Direct Debit. On this demonstration site the charge is simulated, and the provider does not receive a live card or bank payment.
- Companies House or HMRC, when you have asked us to file a form and the filing needs your details.
- A public authority, where the law requires or allows us to pass on a letter or an account record.
- We do not sell personal information, and we do not give it to other companies for their own marketing.
We keep the information in the United Kingdom. If a payment provider processes a reference outside the UK, we rely on the provider’s own transfer safeguards.
4. How long we keep it
- Account, order, and payment records are kept while the account is open and for six years after it closes, so we can meet tax and accounting duties.
- Identity documents are kept while the check is open and for as long as we need them to show why a service was approved or refused. Ask us if you want a document removed sooner and we will do that unless we still need it for a legal claim or a regulatory duty.
- A scanned letter stays available in the account for six months from the upload date. After that it is removed from the account. We keep the file so the team can still retrieve it, and we keep a record that the letter was handled for up to six years.
- Promotional preferences are kept so we know not to email you after you opt out.
5. Your choices
You can ask us to:
- provide a copy of the personal information we hold about you;
- correct something that is wrong;
- delete information we no longer need for the service or for a legal duty;
- limit how we use it while a correction or an objection is looked at;
- receive a portable copy of the details you gave us;
- object to use that is based on our legitimate interests;
- withdraw consent to promotional email.
We may need to confirm you are the account holder before we act. We aim to reply within one month. There is no fee unless a request is repeated or clearly unfounded.
Write to helpdesk@nextukconsultant.com or info@nextukconsultant.com. You can also complain to the Information Commissioner’s Office at ico.org.uk. Please contact us first so we can try to put it right.
Keep your email address current. Service notices are sent to the address on the account, and we treat them as received when our mail log shows they were sent.
